You damaged a hire car in Italy

The rental desk will not tell you what the damage costs today. It will send an invoice in six weeks, calculated by the company that owns the car, at which point you will be a thousand kilometres away with no photographs. The whole game is decided before you hand back the keys.

If another vehicle is involved, complete the CID exactly as you would with your own car. It is the document the hire company's insurer will work from, and its absence shifts everything onto you.

Notify the hire company at once and in writing — an email or a message, not only a phone call. Contracts set short notification periods, and several categories, including theft, vandalism and an unidentified third party, additionally require a police report made in Italy.

Do not authorise any repair and do not agree a settlement at the desk. You are not the owner of the vehicle and any figure agreed at that moment is agreed without knowing what the damage actually is.

At handover

Insist on a written return protocol that describes the damage, and keep a copy signed by the person who takes the car back. If they will not provide one, photograph the vehicle in the return bay from all four corners with the date visible, and send the pictures to yourself.

Photograph the odometer and the fuel gauge at the same time. Charges for those appear on the same invoice, and they are the easiest to disprove with a photograph.

When the invoice arrives

Hire company invoices frequently exceed what the repair would reasonably cost and often include loss-of-use and administration items. You are entitled to have the technical side examined: what was actually damaged, and what a proper repair of that damage costs.

Send us your photographs and the invoice. An independent assessment gives you something concrete to set against it. Whether the contract terms permit a particular charge is a legal question — for that we recommend a lawyer specialising in traffic law.

Frequently asked questions

I bought the excess waiver. Does any of this still matter?
Yes. Waivers have exclusions and conditions — undeclared damage, missing notification, wrong fuel, off-road use — and the invoice arrives regardless. Documentation is what settles whether the charge belongs under the waiver at all.
They blocked a large deposit on my card.
That is normal, and it is released or applied once the damage is assessed by the company. Prompt, documented notification is what shortens that period; silence is what lengthens it.
I have no photographs and the car is long gone.
Ask the hire company for its own photographs and repair documentation — many provide them on request. An assessment built on that material is weaker but often still useful, particularly where invoice items do not match the damage described.
